Partner terms
Last updated: 7 November 2026
This page sets out the terms for Movzo’s partner movers and partner agencies. The terms for clients are in the terms of use. Are you a real estate agency? Discover the partner programme.
Partner terms (movers)
1. Sign-up and account
- Sign-up is free, with no subscription or minimum term, and reserved for removal companies. The account is activated after the e-mail address is confirmed and the company number is checked automatically (active in the official registers, via the European VIES register); if this check fails, Movzo checks the number manually.
- The mover keeps their details up to date: company, company number, company address, working radius or provinces, types of moves accepted, minimum volume, maximum number of requests per day.
- They can pause their account at any time, or delete it if they have no request in progress and no unpaid invoice.
2. Requests offered
- A request confirmed by the client is offered to one mover at a time. Before accepting, the mover sees all the details of the move (municipalities, date, floors, access, inventory, options, photos of the rooms and notes), without the client’s contact details; the access photos (entrance, stairs, street) become visible as soon as they accept the request. They are notified by e-mail.
- The mover has 2 hours to accept or decline it. Time only runs between 8 am and 9 pm (Brussels time), every day. A request confirmed between 9 pm and 8 am is passed to a mover from 8 am.
- Declining costs nothing, but counts towards the score: a request that is declined, or left unanswered, is never invoiced and goes to the next mover; declines and missed deadlines count towards the quality score (section 9).
- By accepting, the mover gets exclusivity on the request: it is not offered to any other mover while it is with them.
3. Price of an accepted request
- Each accepted request is invoiced at €7.50, the same price for every mover, whatever the amount of the move. VAT not applicable – small business exemption scheme.
- The first accepted request is free: it is never invoiced.
- The amount is due from acceptance, whether or not the client accepts the quote, asks for another mover, or the quote is not sent in time. Only a refund granted under section 6 cancels it.
- Movzo takes nothing from the price of the move and never collects money from clients.
4. The quote
- After accepting, the mover has 5 hours (same time window) to send their quote through Movzo: price including VAT, description of the service and, if they wish, validity date, date, arrival time or time of day. They can correct it as long as the client has not answered.
- Without a quote within this period, the request goes to the next mover; the accepted request remains invoiced.
- The quote must be genuine and take the details of the request into account. The mover sets their price freely.
- The client can accept or decline the quote. After declining, they can ask once for another mover.
5. Client details, messaging and contract
- Until the client accepts the quote, the mover sees the municipality and postcode and the details of the move, never the client’s name, street, phone or e-mail. Communication goes through Movzo messaging, where phone numbers, e-mail addresses and links are hidden automatically.
- Before the quote is accepted, it is forbidden to ask for or give contact details, or to try to get around the hiding. This is an operating rule of the platform that protects the client; a breach may lead to suspension of the account (section 9).
- When the client accepts the quote, they give their phone number and the street and house number of both addresses. Movzo then passes the client’s name, these full addresses, their phone and their e-mail to the mover, and passes the company’s details to the client. This acceptance does not yet bind the client: the mover and the client then make the removal contract directly with each other.
- The removal contract, its terms, the price, payment, the invoice to the client, insurance and performance are the mover’s sole responsibility. The mover complies with the rules that apply to their business and to consumer protection, including pre-contractual information for the client (identity, total price, terms, right of withdrawal where applicable) before the contract is made.
6. Refund of an accepted request
- From their space, within 7 days of acceptance, the mover can ask for a refund of an accepted request on one of these grounds: fake details or client unreachable (no answer on Movzo either); duplicate request; request outside the area or criteria they declared; client who had already booked elsewhere before the request.
- The refund request includes a written explanation (at least 10 characters) and, if possible, supporting evidence (PDF, JPEG or PNG, 3 MB maximum). Movzo may review the messages exchanged with the client.
- Movzo decides with reasons and informs the mover by e-mail. If the refund is granted, the amount is cancelled if not yet invoiced, or, if already invoiced, credited at once by a credit note (deducted from that invoice, or refunded by bank transfer if it has already been paid). A free request cannot be refunded. A client declining the quote is not, on its own, a ground for a refund.
7. Invoice and payment
- Between the 1st and the 5th of each month, Movzo issues one invoice per mover for the requests accepted the previous month (Brussels time). It is sent by e-mail and available in the Movers’ space, with its UBL file (Peppol format).
- It is payable by bank transfer within 30 days, with the structured reference shown on the invoice.
- A reminder is sent a few days before the due date. If the invoice is unpaid on the due date, the account is paused: it receives no new requests until payment is recorded, then resumes automatically. A further reminder follows.
8. Reviews
A client who accepted a quote can rate the mover once, from the day after the moving date (score from 1 to 5 and comment), visible to future clients. The mover can reply once to each review. Movzo only hides a review that is insulting, off-topic or contains personal data. From the moving day, the mover can give Movzo a private review of the client; it is never shown to the client or to other movers.
9. Quality, suspension and termination
- Each mover has a quality score out of 100, calculated on the requests received over the last 90 days: 40% for the share of requests answered in time, 20% for the share of answers given within the hour and 40% for the share of requests accepted; each quote not sent in time after accepting takes off 15 points. As long as the mover has received fewer than 3 requests over this period, they are treated as having a good score.
- Movzo may suspend an account for false or misleading quotes, attempts to obtain or give contact details before the quote is accepted, repeated or justified client complaints, abuse of refunds, a company number that is no longer active, or an unpaid invoice. Every suspension is explained by e-mail, and the mover can challenge it (section 12).
- Movzo may end its contract with a mover with 30 days’ notice, by a reasoned e-mail; without notice only for serious misconduct, repeated breaches or a legal obligation, with the same statement of reasons. The mover can end the contract at any time, at no cost, by deleting their account or writing to us. Requests already accepted remain due; invoices are kept for the legal period.
10. Ranking of movers
A request is only offered to movers who meet these conditions: company within the chosen radius around the departure address (40 km by default) or, without a registered company postcode, province covered; if nobody is near the departure, near the arrival (except for an international move); account active, not paused and not blocked for an unpaid invoice; daily maximum not reached; minimum volume and types of moves accepted (international, business).
Among them, the order depends on these main parameters, from the most to the least important:
- Distance between the company and the departure address, by band: up to 15 km, 15 to 30 km, 30 to 50 km, beyond (without a registered company postcode: 30 to 50 km band). It comes first because a nearby mover travels less and better meets the client’s needs.
- The service quality score (section 9: 40% answers in time, 20% answers within the hour, 40% requests accepted, minus 15 points per quote not sent in time; fewer than 3 requests received: treated as good). Within the same distance band, a mover whose score is below 50/100 comes after the others, so that the client gets a quick answer.
- Rotation: when tied, the request goes to the mover who received a request the longest time ago, to share requests fairly.
No mover can pay to be ranked higher: the price of a request is the same for everyone, and Movzo offers no differentiated treatment in return for payment. Clients are informed of these main parameters in the terms of use.
11. Changes to these terms
Any change to these terms, including the price of a request, is announced by e-mail at least 15 days before it takes effect. A mover who does not accept it can end the contract before this notice period expires, at no cost, by deleting their account or writing to us (even with a request in progress or an open invoice, which remain due); the termination takes effect no later than 15 days after it is notified. The applicable price is the one in force when the request is accepted.
12. Complaints, applicable law
A mover can send a complaint (invoice, refund, suspension, ranking) through the contact form; it is handled free of charge and they receive a reasoned answer within 5 working days. The parties may also agree to use mediation. These terms are governed by Belgian law; disputes between businesses fall under the jurisdiction of the courts of Brussels.
13. Access to data
- The mover has access, in their space, to the requests offered to them (details of the move, without the client’s contact details before the quote is accepted), to their answers, quotes, messages, invoices and refunds, their quality score and their reviews. They can download their data at any time (“Download my data”). When a request moves on to another mover, they no longer have access to it and only keep the date, the municipalities and the outcome of the request. They never have access to other movers’ data.
- Movzo has access to all data provided by movers and clients or generated through use of the service (requests, answers and response times, quotes, messages, reviews, refunds, invoices). It uses this data to run the service, calculate the quality score, invoice, handle complaints, prevent abuse and produce anonymous statistics. After the contract ends, this data remains accessible to Movzo for the retention periods set out in the privacy policy.
- Third parties: Movzo does not pass a mover’s data to other movers or third parties for commercial purposes; only its technical processors (hosting, e-mails, accounting and e-invoicing) and, where the law requires, the authorities have access to it. Reviews and the average rating are shown to clients with the quote.
Commitment on client data (independent controllers)
When a client accepts their quote, the mover receives the client’s name, the addresses of the move, their phone and their e-mail. For this data, the mover becomes an independent controller: Movzo and the mover are each responsible for their own processing, and the mover does not act as Movzo’s processor. By accepting these terms, the mover agrees to:
- use the client’s data only to prepare and carry out the agreed move, and for the resulting obligations (invoice, insurance);
- never sell or pass it on, nor use it for advertising without the client’s consent;
- protect it (access limited to people who need it, passwords, no public sharing);
- delete it when the client asks or when it is no longer needed, unless the law requires keeping it (accounting);
- inform Movzo without delay in case of a data leak or a client complaint.
A mover who was offered a request without accepting it, or whose request moved on to another mover, may have received a summary of it by e-mail (municipalities, date, volume): they agree not to use it for any other purpose and to delete that e-mail.
Before the quote is accepted, the details of the move (without contact details) may only be used to decide whether to accept the request and to draw up the quote. Movzo keeps proof of acceptance of these terms (date, version of the text, IP address). Version of 7 November 2026.
Conditions for partner agencies
Real estate agencies, building managers and other partners can recommend Movzo to their clients with a personal code and link. The service remains free for their clients, who are free to use Movzo or not; the code does not change the price, the mover offered or the client’s terms. The agency sees the progress of requests made with its code, without the clients’ contact details. Any remuneration of the agency by Movzo only exists if it is provided for in a separate written agreement; it is then paid by Movzo alone and is never added to the client’s price. An agency that is paid for this recommendation must clearly tell its clients.
Fees, invoices and self-billing
The following rules only apply where the agreement with the agency provides for a fee. The fee is then inclusive of VAT and paid each month by bank transfer, based on a document listing, per file, the reference, the date, the departure municipality and the amount in euros.
- Agency not liable for VAT or under the small business exemption scheme: the agency agrees that each month Movzo issues, in its name and on its behalf, the invoice for its fees (self-billing), without VAT and with the mention of its scheme. The invoice is made available in the Estate agency space with its UBL file (Peppol format); unless disputed within 15 days, it is deemed accepted. Without acceptance of this self-billing agreement, no invoice is issued: the fees remain due and are invoiced after acceptance.
- VAT-registered agency: each month Movzo provides a statement. The agency issues its own invoice for the amount of the statement (including VAT) and uploads it in its space (PDF, and Peppol file if possible). Movzo pays it once checked.
The agency reports any change of VAT status, address or IBAN without delay. Movzo keeps proof of acceptance of the self-billing agreement (date, version of the text, IP address).
Business introducers
Movzo works with business introducers: people or companies who present Movzo to movers and real estate agencies. When a partner signs up with an introducer’s personal link, the sign-up is credited to that introducer, who may receive a possible bonus from Movzo under their individual contract. This bonus is paid by Movzo alone: it does not change the price of a request or the partner’s terms. The introducer only sees the name of the company that signed up, the date and the stage of the sign-up, never the partner’s clients, prices or amounts.
