Privacy and data protection

Last updated: 7 November 2026

This page explains which data Movzo uses, why, who it is shared with, how long it is kept and what your rights are. It follows the General Data Protection Regulation (GDPR).

In short: your request is offered to one verified mover at a time. Before you accept their quote, they see your municipality and the details of the move, without your contact details; if you accept their quote, they receive your contact details (name, full addresses, phone, e-mail) and you receive theirs; this acceptance does not yet bind you, the removal contract is then made directly with them. Movzo processes no payments: you pay the mover directly.

1. Who is responsible for your data?

Movzo (the legal name, registered office address and company number will be published here before the service officially opens). Contact for any question about your data: [email protected]. Given its size and activities, Movzo is not required to appoint a data protection officer (DPO); this address puts you in direct contact with the controller.

2. What data do we use?

If you make a request: name, e-mail, departure and arrival addresses (postcode and municipality), floors, lift and furniture lift, preferred date and time of day, volume or furniture list, chosen formula and options, message, language, contact preferences, and photos if you add them (up to 15: rooms, furniture and access). Your phone number and the street and house number of the departure and arrival addresses are only asked for when you accept a quote. We also keep proof of the information shown before you sent your request (date, version and text, language, IP address, browser), the history of your request (the movers it was offered to, their answers, the quote received and your answer), chat messages with the mover, your review after the move and, if you ask for them, your sign-up for reminders.

If you are a partner mover: company name, company and VAT number, address, contact person’s name and details, company postcode, areas and settings (radius, minimum volume, types of move, pause), rates, answers to the requests offered to you, quotes sent, accepted and invoiced requests, invoices and payments, refund requests and supporting documents, the check of your company number (European VIES register: official name and address, date of the check), confirmation of your e-mail address, documents or information you choose to add to your profile (for example a licence number), service quality score, client reviews and your replies, proof that you accepted the terms, and login data.

If you are a mover and turn on WhatsApp (optional): your mobile number and proof of your consent (text, version, date, IP address, browser). They are only used to send you one message per new request offered (municipalities, date, volume and link to your space), without any client data (basis: your consent, Art. 6(1)(a)). You can turn it off at any time in your settings; Movzo then deletes this number and the proof of consent.

If you are a partner agency (real estate agency, property manager…): agency name, company number (checked in the European VIES register), name, e-mail and phone of the contact person, billing address, VAT status, IBAN, language, your code and link, proof that you accepted the conditions and, where applicable, the self-billing agreement (date, version, IP address), billing documents and any payments. This data is used to manage your Estate agency space and the partner programme (basis: the contract between us). It is kept for as long as the partnership lasts, then for the legal retention period for accounting records: your billing data (address, VAT status, IBAN) and your invoices are kept for 7 years for accounting purposes (legal obligation, Art. 6(1)(c)). Your space never shows the personal data of the clients you recommend: only the moving date, the departure municipality and the status of the request.

If you are a business introducer: name, e-mail, phone, language, address, company number if any, VAT status, IBAN, your code and personal links, the partners who signed up with your links (company name, date, stage), and the statements, invoices and payments provided for in your contract. We use these data to manage your space and perform your contract (basis: the contract between us). They are kept for the term of the contract, then 7 years for payment data and accounting records (legal obligation, Art. 6(1)(c)). Movers and agencies who sign up with your link know that their sign-up is credited to you; your space never shows client data, move prices or your partners’ commercial terms.

If you use the photo volume calculator or voice dictation (optional): the photos you choose to calculate the volume, or the text of your spoken description. Your voice is transcribed into text by your browser; Movzo only receives the text. Our tool recognises your furniture in the photos and fills in the list; you then check it. The analysis itself does not store the photos at Movzo; they are then attached to your request for the mover and you can remove them before sending (only photos attached to your request are kept).

If you write to us: name, e-mail, phone (optional), reference and message.

If you visit the website: your IP address is used briefly to protect the site against abuse (limiting the number of requests) and kept for 2 hours at most. Our visitor statistics are anonymous: they count page views, the site you came from and the form steps, without cookies and without storing your IP address.

3. Why, and on what legal basis?

Offering your request to one mover at a time (without your name, phone, e-mail or street)Pre-contractual steps taken at your request (Art. 6(1)(b) GDPR): without this, you cannot receive a quote. You are informed of how this works just above the send button, with no box to tick; you can stop your request at any time.
Optional AI analysis of photos and text: calculating the volume from your photos or filling in the form from your dictated descriptionThe service you ask for by using this feature (Art. 6(1)(b)); you can always fill in the form without it
Running the chat, showing you the quote, and sharing your contact details with the mover whose quote you accept (and theirs with you)Pre-contractual steps taken at your request (Art. 6(1)(b)): by accepting a quote, you ask for this exchange of contact details so that you can then, if you wish, make the removal contract directly with that mover
Checking your e-mail with a confirmation link, sending you e-mails about the progress of your request and the “My move” pageThe service you asked for (Art. 6(1)(b))
Sending you practical remindersYour consent (separate checkbox, Art. 6(1)(a)), which you can withdraw in one click
Managing movers’ accounts, offering them requests, invoicing accepted requests, handling refund requestsThe contract with the mover (Art. 6(1)(b))
Keeping invoices and accounts, answering the authoritiesA legal obligation (Art. 6(1)(c))
Measuring movers’ service quality, publishing verified reviews, handling complaints and reportsOur legitimate interest in offering you reliable movers and trustworthy reviews (Art. 6(1)(f))
Security, preventing fraud and abuse, anonymous statisticsOur legitimate interest in protecting and improving the service (Art. 6(1)(f))

We do not sell your data to third parties: movers pay Movzo for each request they accept (without your contact details), and only receive your contact details if you accept their quote. We do not use your data for advertising.

Mover’s feedback on the job: from the moving day, the mover whose quote you accepted may give Movzo private feedback (rating, punctuality, whether the volume and access matched the request, short comment). Only Movzo sees it; it helps keep the service reliable for everyone (basis: legitimate interest). Movzo may consult this feedback when you make future requests; you can object at [email protected]. It is never used to reject a request automatically. The feedback is deleted with your request, and you can get a copy on request.

4. Automated choice of mover

The mover your request is offered to is chosen automatically on objective criteria: their settings (radius, volume, types of move, active account), then, in this order: the distance between their company and your departure address (in bands: up to 15 km, 15 to 30 km, 30 to 50 km, beyond), their service quality score and, if still tied, priority to the mover who received a request the longest time ago. If they decline or do not answer in time, the request automatically goes to the next one. These parameters and their weight are described in section 10 of the partner terms. Movzo does not calculate any price: the mover freely sets the price of their quote. This processing has no legal effect on you: you remain free to accept a quote or not. A mover who disputes their score or a decision can contact us; a person will then review the situation.

Checking requests against fake requests: before being offered to a mover, every confirmed request is checked automatically, and if needed by our team, to prevent fake requests, tests and abuse (basis: our legitimate interest in giving movers genuine requests and protecting the service, Art. 6(1)(f)). The check looks, for example, at whether the e-mail address is temporary, whether the name or message looks like a test, whether the information is consistent (date, volume, postcode and municipality), whether several very similar requests arrive within a short time (same e-mail, same route, same IP address, the one kept with the proof of the information shown) and the country of the connection. The result (a score and its reasons) is kept with your request. A normal request is offered straight away. No automated decision has any legal effect on you (Art. 22 GDPR): a request that looks doubtful is never refused by the machine; it is examined by a member of our team, who decides whether to pass it on; only obvious cases (a clear test request) are closed automatically. If your request is not followed up, you receive an e-mail and can contact us to have a person look at it again.

5. Who receives your data?

  • One mover at a time. The mover your request is offered to sees your municipality (departure and arrival) and all the details of the move (date, floors, access, volume, furniture, options, photos of the rooms, message) — never your name, phone, e-mail or street. The access photos (entrance, stairs, street) are only shown to them after they have accepted your request, before you accept their quote: this is why we ask you not to show a house number or number plate on them. If they decline or do not answer in time, the next mover sees the same information, and the previous one no longer has access (they keep only the date, the municipalities and the outcome of the request, for their billing). They may have received a summary of the request by e-mail (municipalities, date, volume): they have committed not to use it for any other purpose and to delete it. In the chat, phone numbers, e-mail addresses and links are hidden automatically until you have accepted a quote.
  • The mover whose quote you accept then receives your name, the full addresses of the move (street and house number, given when you accept), your phone and your e-mail; you receive their contact details. This acceptance does not yet bind you. From that moment, they are an independent controller of this data: they have contractually committed to use it only for your move, never to sell it, and to delete it at your request unless the law requires otherwise. The contract and the payment for the move are made directly between you and them.
  • Future clients see the review you publish about the mover, with your first name, the initial of your surname, the departure and arrival municipalities and the month of the move, never your full name or contact details.
  • Our technical processors, acting only on our instructions: Cloudflare (website hosting, database hosted in the European Union, photo storage), Resend (sending e-mails) and our mailbox provider [to be completed] (receiving e-mails sent to our addresses).
  • Meta Platforms Ireland (WhatsApp Business), a processor acting on our instructions, only for movers who turned on WhatsApp notifications: receives their mobile number and the message content (municipalities, date, volume, link), never client data.
  • Anthropic PBC (United States), a processor acting on our instructions, only if you use the photo volume calculator or voice dictation (optional): artificial intelligence analysis of the photos or the text of your description. Anthropic does not use them to train its models and deletes them no later than 30 days after the analysis (unless required by law or in case of abuse).
  • Your browser’s speech recognition service (for example Google for Chrome), if you use voice dictation: your voice is transcribed by the browser, under its publisher’s terms; Movzo only receives the text.
  • The European Commission (VIES register), which receives the company number of movers and agencies to check that it is valid.
  • Accountable (accounting software), a processor acting on our instructions, only for movers’ invoices and partners’ billing documents, and a Peppol access point (to be decided) for sending these invoices electronically. Never client data.
  • The authorities, only where the law requires it.

6. Transfers outside the European Union

Our database is hosted in the European Union; photos and e-mails may be processed outside the European Union by Cloudflare and Resend, under standard contractual clauses or the Data Privacy Framework. They are US companies: access from the United States also remains possible, for example for maintenance, under the same safeguards (EU–US Data Privacy Framework or standard contractual clauses approved by the European Commission). Meta (WhatsApp), used only for movers who turn it on, may also transfer data to the United States, under the Data Privacy Framework or standard contractual clauses. Anthropic, which is only involved if you use the optional AI analysis, is also a US company: this transfer is covered by standard contractual clauses and, where applicable, by the Data Privacy Framework.

8. Your rights

At any time you can ask to access your data, correct it, erase it, restrict its use, receive it in a readable format (portability), object to processing based on our legitimate interest, and withdraw your consent.

  • Clients: the “Delete my data” link at the bottom of the confirmation e-mail erases your data in one click and stops your request: no mover receives it any more. If you have already accepted a quote, we notify the mover, who must also erase your data (you can also ask them directly). Only the anonymous data needed to invoice movers is kept for as long as the law requires. Each reminder contains a link to stop them.
  • Movers: “Download my data” and “Delete my account” are in the settings of your space.
  • For anything else: write to [email protected]. We reply within one month (extendable by two months for complex requests). We may ask you to prove your identity.

9. Complaints

If you believe your rights are not respected, please contact us first. You can also lodge a complaint with the Belgian Data Protection Authority, Rue de la Presse 35, 1000 Brussels, dataprotectionauthority.be.

10. Security

Encrypted connection (HTTPS) across the site, database hosted in the European Union, hashed passwords, lockout after several failed logins, signed personal links, each mover’s access limited to the requests offered to them (and no access after declining or missing the deadline), the client’s name, phone, e-mail and street shared only with the mover whose quote is accepted, contact details hidden in the chat until a quote is accepted, backups with restore up to 30 days back, error monitoring. No system is infallible, but we react quickly to incidents and inform the people concerned and the Authority where the law requires it.

11. Cookies

This website uses no advertising cookies or trackers, which is why you are not asked to accept a banner. Your browser only keeps, in its local storage: your request in progress (so you don’t lose what you typed; deleted once sent), the login session of movers, agencies, introducers and administrators, and a business introducer’s code if you reach a sign-up page through their link (30 days at most). This is strictly necessary for the service you ask for: nothing is used for advertising or to track you across websites, so no consent is needed.

12. Minors

The service is intended for people aged 18 and over. If you learn that a minor has sent us data, write to us and we will delete it.

13. Changes

We may update this page; the date at the top shows the latest version. Partner movers are informed by e-mail of any significant change.
